What waste transfer note software is for
A waste transfer note is the duty of care record for a non-hazardous load: who handed it over, who carried it, what the waste was, the EWC code, how much of it there was, and which site received it. Waste transfer note software replaces handwritten pads and emailed PDFs with a record that is searchable when a customer, a receiving site or the Environment Agency asks.
Paper is still legal for WTNs in 2026. It is a poor system once a permitted receiving site is in DEFRA Phase 1, because that site needs digital details they can submit — typically by the end of the second working day after the load arrives. A pad in the cab does not feed digital waste tracking software.

What is waste transfer note software? +
It is software that creates, signs and stores waste transfer notes (WTNs) so a carrier or site can prove duty of care without a carbon-copy pad. A WTN records who moved the waste, what it was, the EWC code, the quantity, the date and where it went. WEEE Manager generates WTNs for general waste and WEEE transfer notes for electrical equipment, including recurring notes for scheduled collections.
Are paper waste transfer notes still legal? +
Yes, paper WTNs remain a lawful way to record a non-hazardous transfer today. They are not a substitute for DEFRA’s Digital Waste Tracking Service once a permitted receiving site is in Phase 1. Sites in scope need a digital record they can submit, typically by the end of the second working day after receipt.
How long must waste transfer notes be kept? +
Keep non-hazardous waste transfer notes for at least two years. Keep hazardous waste consignment notes for at least three years. Software that retains the signed record with the EWC code, weights and parties involved is the practical way to meet that when a customer or the Environment Agency asks.
What must a WTN include? +
A description of the waste, the EWC code, quantity and unit, whether it is mixed, the names and addresses of the parties, the waste carrier registration number where relevant, and the date. Hazardous movements use a consignment note instead of a standard WTN.
Can I issue a season ticket or recurring WTN? +
Yes. For regular collections of the same waste stream from the same customer, WEEE Manager can generate recurring WTNs so the office is not retyping the same note every week. The record still has to match what was actually collected.
