Digital Waste Tracking Ready

Digital Waste Transfer Note Software

A waste transfer note captured on the device in the cab, signed digitally, stored against the customer, and structured so a receiving site can report it — not a prettier PDF of a paper pad.

What “digital” has to mean on a waste transfer note

Scanning a carbon copy into a shared drive is not digital waste transfer note software. The test is whether the note exists as structured data: waste description, EWC code, quantity, hazardous flag, carrier and producer details, date and time. If those fields live in one record, you can search them, share them with a customer, and — for a permitted receiving site — submit them to DEFRA without rekeying.

WEEE Manager treats the note as the paperwork view of a job. The driver confirms items on the waste management driver app workflow; the office generates the WTN or WEEE note from that job. Signatures and timestamps sit on the record rather than on a second piece of paper that can go missing.

If you still need the legal basics — what a WTN must contain, two-year retention, season tickets — start with waste transfer note software. This page is the digital layer: capture, offline use, and the link to DWTS.

How a digital WTN connects to DEFRA DWTS

Duty of care and national tracking overlap on fields. They are not the same legal act. Mixing them up is how firms buy a PDF generator and think they are Phase 1 ready.

Your duty of care

Digital WTN

  • Kept by the parties to the transfer
  • At the time of transfer; retain 2 years (non-hazardous)
  • Paper is still lawful for WTNs today

National report

DWTS record

  • Phase 1: permitted receivers from Oct 2026 (E&W)
  • Usually end of second working day after receipt
  • No paper substitute once you are in scope
Digital waste tracking →

WEEE Manager is listed on GOV.UK as compatible software for reporting receipt of waste. The receiving-site workflow is on digital waste tracking and DEFRA digital waste tracking software.

Who needs digital capture, not just a nicer PDF

If your drivers work rural sites, night tipping or yards with no indoor signal, the software has to work offline. If your customers demand last month’s notes in an audit, search beats a folder of scans.

Waste management software pricing

Price follows team size. Features do not. Unlimited waste notes, cloud hosting, daily backups, support and DEFRA DWT-ready records on every plan. No setup fee.

DEFRA also charges £26 a year per legal entity that creates or edits Digital Waste Tracking Service records once the service is mandatory. That fee is the government’s, not ours. Full table on waste management software pricing.

Common questions

How a digital WTN differs from paper, from a PDF folder, and from DEFRA DWTS itself.

What is digital waste transfer note software? +

It is software that creates a waste transfer note as a signed digital record rather than a carbon-copy pad. The note still has to carry the duty of care fields — description, EWC code, quantity, parties and date — but it can be captured on a phone, stored centrally and reused for DEFRA digital waste tracking without retyping.

Is a digital WTN the same as DWTS? +

No. A waste transfer note is your duty of care document. DEFRA’s Digital Waste Tracking Service is the national reporting system for waste movements. A digital WTN can feed DWTS because the fields overlap, but completing a WTN is not by itself a DWTS submission. Permitted receiving sites in Phase 1 still have to report receipt of waste on the service.

Can drivers sign a note offline? +

WEEE Manager’s progressive web app works offline in the browser. Staff can log jobs and waste records on a site with no signal; the data syncs when connectivity returns. The Android app is built for the same poor-signal yards.

Do I still need a paper copy? +

Not if the digital record is complete and retained. Some customers still ask for a PDF. WEEE Manager keeps the note against the customer so you can send or portal-share it without keeping a second paper archive.

How does this differ from ordinary WTN software? +

Ordinary WTN tools often mean “we print a nicer PDF of the same pad”. Digital waste transfer note software in this sense means capture in the field, signatures, offline use, and a structured record that a receiving site can use for DWTS. WEEE Manager does both the note and the operational job around it.
